Working with TrackLink

Overview

docuflow TrackLink is considered home-base for all users and administrators. TrackLink is used as the end users processing queue as well as a host of additional functionality for inbox management, searching and tracking, and administrator functions.

Below is a list of functionality offered:

  1. User inbox processing
  2. Load balancing across processing group
  3. Dynamic filtering and sorting
  4. Wide range of search options
  5. Configurable layout at the global or user level
  6. Customizable layout content
  7. Drill-down functionality to invoices, purchase orders, etc.
  8. Integration with your SAP payment run status
  9. Enhanced Work-Item Processing function:
    1. Security based forwarding (optional)
    2. Displaying image from content repository
    3. Enhanced "note" taking and viewing
    4. Exception processing
    5. Reprocessing
  10. Administrator functions:
    1. Single and mass Reassignment
    2. Single and mass forced completion and buffer status management
    3. Single and mass enhanced "note" taking
    4. Single and mass Role Resolution update
    5. Full invoice year-end rollover toolset with link management

Searching

The ability to search and find a work-item quickly for customer support or other reasons is essential.

docuflow TrackLink and its underlying structure means the data is at your fingertips without any data compilation that would result in long wait times. A wide variety of search options are available in standard SAP format (ie: select-options).

Results are displayed in a straightforward layout and then be further filtered and sorted.

Search results are independent of whether the user searching is able to process the work-item or not (they are of course prevented from processing if they are not a "possible agent").

You can choose to display in-progress invoices only or included completed workitems.

User Inbox Processing and Functions

User inbox processing is the day to day work queue of your AP team and Exception managers. Albeit TrackLink is also used by approvers when outside-of-sap or mobile approval is not configured, TrackLinks flexibility is realized when leveraged as home-base for end-users main job is to process work-items.

Working in tandem with configured role-resolution to determine "possible agents," docuflow AP and the underlying SAP workflow runtime system manages the sharing of these work-items and prevents work-items from being processed more than once. Once a user has "touched" a work-item, it is reserved by them for processing until it is either completed or resubmitted back to the larger "team".

Therefore, at the highest level, a user can view any list of work-items (which is basically equivalent to Searching), but they can also choose to view work-items that they are a "possible agent" for / are allowed to process.

A user can further filter and sort by configurable and saveable layouts to provide different "views" of their queue.

Functions are categorized into three buckets:

  1. Toolbar functions - functions everyone has access too
  2. User functions - "special" user functions
  3. Administrator functions

Toolbar Functions

  1. Execute Work-item: The most common function, this allows the user to execute the work-item of which they are a possible agent of. What happens upon execution depends on the workflow stage and configured functionality (ie: create invoices, display invoice, approve invoice, triage an exception, etc).
  2. Display History: Every detail about an invoice is logged extensively and is viewable for light reading enjoyment as well as analysis into the history of an invoice and its processing.
  3. Forwarding: If and only if a user has the appropriate authorization, forwarding a work-item outside of the possible agent group is available. Enabling forwarding is completely optional and is typically driven by a customers internal process. A user must have the below authorization to forward a workitem:
    1. AUTHORITY-CHECK OBJECT 'S_WF_WI' ID 'WI_TYPE' FIELD '*' ID 'TASK_CLASS' FIELD '*' ID 'WFACTVT' FIELD '35'.
    2. OR AUTHORITY-CHECK OBJECT 'S_WF_WI' ID 'WI_TYPE' FIELD '*' ID 'TASK_CLASS' FIELD '*' ID 'WFACTVT' FIELD '25'.
  4. Create Note: Allows you to notes to a work-item.
  5. Display Note List: Display a list of all notes for a work-item. You can then view the note itself by drilling down into that note.
  6. Display Note Summary: Displays a summary of all notes so you do not have to search through all the notes if there are a number of them.
  7. Display Work-item: Displays the SAP workflow runtime system work-item.
  8. Display CMS Image: Displays the original invoice from your content management system.
  9. Drill-down: If the SAP invoice has been created, you can drill down to display without processing the work-item. You can also drill down into the purchase order.

User Functions

  1. User Functions -> Re-process Invoice: In some scnearios, you may choose to restart the workflow. This is called "re-processing" an invoice. If the workflow already has an SAP invoice created, you can choose to retart using the same invoice or create a new one.
  2. User Functions -> Re-classify Invoice: In some scnearios, you may choose to re-classify the invoice (ie: change location, business unit, department, category, or flag). This doe not re-process an invoice, and in most cases, a re-process is not required. Only Initial AP, Review, and Exception stages can potentially re-classify an invoice.

Administrator Functions

If configured as a docuflow Administrator, the below functions are available. These functions can be processed for single work-items as well as mass processing:

  1. Lock/Unlock: Administrators can lock workitems so they cannot be processed until unlocked. This could be when a batch of invoices is under investigation, or if there is a system issue.
  2. Terminate: A workflow can be terminated/stopped immediately.
  3. Re-Assign: Individual work-items can re-assigned to a different invoice.
  4. Display ASL Log: All ASL checks that are performed during approval are logged. This displays such information.
  5. Mass Functions: These functions perform activity on all workitems shown on the TrackLink screen/list:
    1. Lock/Unlock: Same as above but en mass
    2. Create Note: Above what is available at the end-user level, Administrators can add mass notes to the list of work-items displayed.
    3. Forward: Above what is available at the end-user level, Administrators can mass forward the list of work-items displayed. A user must have the below authorization to forward a workitem:
      1. AUTHORITY-CHECK OBJECT 'S_WF_WI' ID 'WI_TYPE' FIELD '*' ID 'TASK_CLASS' FIELD '*' ID 'WFACTVT' FIELD '35'.
      2. OR AUTHORITY-CHECK OBJECT 'S_WF_WI' ID 'WI_TYPE' FIELD '*' ID 'TASK_CLASS' FIELD '*' ID 'WFACTVT' FIELD '25'.
    4. Reprocess: Same as above but en mass
    5. Terminate: Same as above but en mass
    6. Display ASL Log: Same as above but en mass
    7. Year End Rollover: SAP document number contain the fiscal year. For in-process work-items with SAP invoices that are not posted and year-end occurs, the year end process changes the key for the SAP invoice (including the SAP document number itself depending on your SAP configuration). The docuflow Year End Rollover Utility automatically:
      1. Re-creates the invoice in the new year
      2. Updates the docuflow AP database
      3. Re-establishes any linkages to your content management system attachments
      4. Can optionally set the previous years invoice as marked for deletion
    8. Force WF Update: Allows the forced update of TrackLink invoices fields
    9. Force Agent Update: If agent configuration is changed, this allows the update of the role-resolution logic to update the appropriate agents/possible agents.

Versions of TrackLink

There are two versions of TrackLink available:

TrackLink Full

Transaction: /DFLOW/APTRACKLINK

This has all functionality available and the initial screen allows you to choose to see all workitems regardless of whether you are a possible agent of that workflow. Completed workflows are also viewable and searchable.

*Note that you can only process a workitem if you are an assigned possible agent

Best suited for:

  1. Managers and supervisors
  2. Any user that will perform "administrator functions" listed above
  3. Any user that will perform "user functions" listed above
  4. Users that need to search all invoices regardless of who their possible agent(s) are, including historical invoices

TrackLink User Only

Transaction: /DFLOW/APTRACKLINKUS

Provides access to:

  1. Only In-flight (ie: not completed) workflows
  2. Only Workitems of which you are a possible agent for
  3. Does not allow and user or administrator function menu paths (still has access to toolbar functions)

Best suited for:

  1. Users that only need an inbox / processing queue
